Enforce Budgets
PrintControl is a software solution that enables you to monitor
and control the use of printing resources within your system. Central
to this, is the ability to create and enforce quotas. PrintControl
offers an impressive level of flexibility in the creation and enforcement
of print quotas.
- Control the number of pages
printed.
- Allow a certain number
of pages to be printed and when that amount is used, the Administrator
must grant a new printing quota.
- Set grace limits, allowing
quotas to be exceeded by a customisable amount so users can print
the final pages of a document which has taken them over their
quota.
- Set cost-per-page on an
individual printer basis, colour printers with a higher cost per
page for instance.
- Increase the accuracy of
your policy by configuring individual settings for individual
users.
- Control which file types
can be printed, refuse the printing of jpegs or emails for example.
- Limit printing by file
size, preventing printers being busy for long periods with large
documents.
- Set print quotas on non-NT/2000
accounts. Monitor and control printing by all users, even those
who do not log into your NT/2000 domain.
Create
Awareness
PrintControl is designed to reduce or remove unnecessary printing
from your system. There are two ways in which PrintControl can be
used to achieve this result: Active and Passive printer management.
Creating awareness is the key to passively reducing the printing
bill in your system. Simply by bringing this issue to the attention
of your users, you could cut this expense in half.
- Allow users to print as
much as they like, but send them a message after each print job
informing them about their quota status. Letting your users know
that their printing is being monitored.
- Use pre-configured warning
messages or create you own custom messages that better serve your
individual needs.
- Notification messages can
be customised to the foreign language of your choice.
- Automatically include the
financial cost of a print job, as a dynamic variable in your messages.
Monitor Use
PrintControl is able to reveal the true costs of printing within
your system. This information is vital to the accurate construction
and evaluation of your print management policy. It is also an excellent
means of increasing the accuracy of your budgeting and billing.
- Monitor print job costs
in local currency. Keep a record in real financial terms.
- Store all printing activity
in an ODBC-compliant database so that accounting reporting can
be customised and performed by your favourite reporting package
[such as Seagate Crystal Report, Microsoft Excel, etc.].
- Keep track of who prints
what and how much, produce a monthly report for cost analysis,
departmental billing, etc.
- Allow users to print as
much as they like but make use of PrintControl's monitoring capabilities
to determine whether a more active approach is needed.
- Take printers automatically
off-line when the toner life has expired and inform the printer
operator that maintenance should be carried out.
- Monitor all Printers in
your network without the need to install any agent on the computers
hosting the printers. Simply install the PrintControl service
and then use the PrintControl Manager to remotely connect to the
printers you wish to monitor
